Policy on Infrastructure

The institution is committed to developing and maintaining quality infrastructure to support academic, co-curricular, extracurricular, and administrative activities. Proper maintenance of infrastructure ensures the long-term usability of facilities and reduces the need for frequent repairs or new construction. This policy provides guidelines for the development, maintenance, and effective utilization of the institution’s infrastructure.
Objectives
  • To provide modern and adequate facilities for academic, co-curricular, extracurricular, and administrative activities.
  • To ensure the efficient and effective use of infrastructure by all stakeholders.
  • To plan and manage facilities such as classrooms, auditoriums, indoor stadiums, gymnasiums, open stages, laboratories, and libraries.
  • To allow selected infrastructure facilities to be used by government or non-government organizations without affecting academic activities.
Scope
  • Proper maintenance and management of infrastructure are essential for the continuous development of the institution. Effective maintenance helps extend the life of facilities and minimizes the need for costly repairs or frequent additions to infrastructure.

Infrastructure Development

The need for new infrastructure is discussed by the Campus Development and Maintenance Committee, College Council, and Management Committee.

Final approval for infrastructure development is given by the Principal in consultation with the Management Committee.

Financial resources for new infrastructure may come from government funding, college management, or other approved sources.

In certain cases, PTA support may be utilized for infrastructure development.

All construction works and purchases follow government rules and standard procedures.

Maintenance of Infrastructure

A Maintenance Supervisor is responsible for the safety, security, and maintenance of classrooms, furniture, and campus facilities.

Department Heads regularly inspect their departmental facilities and report maintenance requirements.

Staff and students can report maintenance issues through the maintenance register available in the college office.

In certain cases, PTA support may be utilized for infrastructure development.

Cleaning staff are appointed to maintain the cleanliness of the campus.

General Infrastructure

01. ICT Infrastructure

  • ICT facilities are accessible to both students and staff.
  • An ICT Cell monitors the use and maintenance of ICT facilities.
  • A Network Administrator and Technical Assistant manage the maintenance of computer systems, internet, Wi-Fi, and the college website.
  • Maintenance issues are recorded in an ICT Maintenance Register and addressed promptly.

02. Laboratory Facilities

  • Lab assistants are responsible for maintaining laboratory equipment and facilities.
  • The Head of the Department informs the office about required repairs or maintenance.
  • Students and staff must follow laboratory safety guidelines and use protective equipment where necessary.
  • Laboratories must not be used without proper supervision.

03. Sports Facilities

  • The Head of the Department of Physical Education oversees the use and maintenance of sports infrastructure.
  • A stock register of sports equipment is maintained and verified annually.
  • External users must obtain prior permission from the Principal to use sports facilities.

04. Library Facilities

  • The Librarian is responsible for maintaining library facilities and resources.
  • All new books are recorded in the library stock register.
  • Infrastructure needs or repairs are reported to the Principal.
  • A Library Advisory Committee provides suggestions for library development and activities.

05. Hostel Facilities

  • The Principal serves as the Chief Warden of the hostels.
  • A Deputy Warden supervises hostel operations.
  • A Hostel Committee including student representatives helps maintain discipline and manage hostel activities.
  • Maintenance of hostel facilities is handled by a caretaker or matron.

Optimum Utilization of Infrastructure

The institution encourages the optimal use of its infrastructure while ensuring that academic activities are not affected.

Selected facilities may be provided to government or non-government organizations on request with prior approval.

A formal agreement and fixed rental charges may apply where necessary.

Possible uses include:

Conducting distance education contact classes on holidays.

Hosting sports competitions in the indoor stadium.

Using the college ground for athletic events.

Conducting online examinations in ICT labs.

Providing research facilities for external scholars and students.

In special cases, infrastructure may also be shared for public welfare activities, such as:

Government training programs

Election-related activities

Health camps or medical camps

Infrastructure may also be shared with sister institutions of MES Kalladi College as directed by the management.
